The Machine That Failed the CE Inspection

We shipped a machine to Europe. The customer’s CE inspector came. He checked the machine’s documentation: the electrical schematic, the risk assessment, the CE declaration of conformity, and the machine nameplate. The nameplate had the company name but not the required information (machine year, serial number, electrical rating, CE mark). The risk assessment was missing. The electrical schematic was a hand-drawn sketch, not a proper document. The inspector stopped the acceptance. We had to scramble: create the nameplate with all required data, write a proper risk assessment, redraw the schematic in CAD, and issue a CE declaration. It took two weeks. The mistake was treating documentation as an afterthought. It’s part of the machine. The mistake was not planning the documentation from the start.

Machine documentation and nameplate design isn’t optional paperwork. For CE (Europe), OSHA (US), or customer acceptance, the machine needs proper documentation. This article covers what’s required.

What Goes on the Nameplate

The machine nameplate is a metal (or durable plastic) plate, fixed to the machine in a visible location. It must include:

  • Manufacturer name and address: Your company.
  • Machine name and model: E.g., “Automatic Assembly Station, Model AS-2000.”
  • Serial number: Unique to this machine.
  • Year of manufacture: When it was built.
  • Electrical rating: Voltage (e.g., 3-phase 400V), frequency (50 Hz), and full-load current (Amps). Or total power (kVA).
  • Pneumatic supply: Pressure (e.g., 6–8 bar) and quality (filtered air).
  • CE mark: The CE logo (for Europe).
  • Machine mass (weight): For installation and rigging.

The nameplate must be durable (stainless or engraved). Not a paper label that falls off.

Required Documentation (CE / Europe)

For CE-marked machinery, the technical file (documentation) must include:

  • Risk assessment: Identifies the hazards (crushing, electrical, pneumatic) and the safeguards. Required by the Machinery Directive.
  • Electrical schematic: A proper (CAD-drawn) schematic with all components, wire numbers, and I/O list. Not a hand sketch.
  • Pneumatic schematic: Air circuit diagram with components.
  • Operating manual: How to run, maintain, and troubleshoot the machine. In the local language.
  • Declaration of Conformity: A signed document declaring the machine meets the applicable directives (Machinery Directive, EMC, Low Voltage).
  • Component certificates: CE certificates for major components (safety relays, motors, PLCs).

The Risk Assessment (Most Important)

The risk assessment identifies every hazard on the machine and how it’s controlled:

  • Hazard: Robot arm crushing. Safeguard: Safety fence with interlocked gates (article 74).
  • Hazard: Electrical shock. Safeguard: Grounding, isolation transformer, IP54 cabinet.
  • Hazard: Pneumatic pressure. Safeguard: Pressure relief valve, lockout-tagout.
  • Hazard: E-stop. Safeguard: Safety relay, dual channel (article 64).

The risk assessment shows that you’ve thought about the hazards and applied the right safeguards. The CE inspector checks this first. Without it, the machine isn’t compliant.

The documentation rule: Plan the documentation from the start, not after the machine is built. The nameplate, risk assessment, schematics, and manual are part of the deliverable. Electrical Schematic: What It Must Include

The electrical schematic is a proper (CAD) drawing. It must show:

  • Power circuit: Main disconnect, transformer, contactors, motor starters, breakers.
  • Control circuit: PLC I/O, sensors, valves, relays.
  • Wire numbers: Every wire has a number (matches the physical wiring).
  • I/O list: A table of all PLC inputs and outputs (address, device description).
  • Panel layout: How the components are arranged in the cabinet.

Use a CAD tool (e.g., EPLAN, AutoCAD Electrical). Not a hand sketch. The inspector (and the maintenance electrician) needs a readable, accurate schematic.

Operating Manual

The manual tells the user how to run and maintain the machine. It should include:

  • Setup and installation: Unpacking, leveling, connecting power and air.
  • Safety instructions: Warnings, PPE, lockout/tagout.
  • Operation: How to start, run, stop the machine. The operator interface description.
  • Maintenance: Lubrication schedule (article 88), filter changes, wear parts.
  • Troubleshooting: Common faults and fixes.
  • Spare parts list: Recommended spares (fuses, filters, sensors).

The manual is in the customer’s language. For Europe, English (or local language). For China, Chinese. For the US, English.

CE Marking: The Logo

The CE mark is the EU’s self-certification mark. It’s affixed to the machine (and the nameplate). The manufacturer self-declares that the machine meets the directives (Machinery Directive 2006/42/EC, EMC Directive, Low Voltage Directive). The technical file (risk assessment, schematics, etc.) supports the declaration. It must be available for inspection (but doesn’t ship with the machine unless requested).

The CE mark must be visible, legible, and permanent. Not a sticker that falls off. It goes on the nameplate (or a separate CE label).
